Most of us work within a fast paced world and project management is a must. In your profession, you have probably come across experts, groups or organizations, which use excel as a project management tool and find it extremely unsuccessful in their daily working environments.  The fact is, a spreadsheet is not that effective to manage projects, especially if it’s large and complex projects.  You all know planning projects can become time- consuming, unreliable, and ineffective and would create silos. Many of you know this is true, even if you are still using a spreadsheet.

Below Project Guru have drawn up a list of ways in which spreadsheets makes project management a hard and challenging task… And it doesn’t need to be so!

There are limitations when using spreadsheets, many
individuals fear them. (Limitations)

There are quite a number of people who fear and hate using spreadsheets. You might be an expert on spreadsheets but you will soon notice people will dumb the spreadsheet work on you. Meaning you will end up making changes, updates etc. There are a number of people that don’t know how to use spreadsheets, therefore many on your project might leave the spreadsheet somewhere on the hard drive and interpretation of the project becomes chaotic.

Spreadsheets are not able to store files such as annotations, conversations, as well as related information that are important aspects of the project communication and the collaboration.


When using spreadsheets it limits the access range for communities. If you would like to be effective, all information needs to be available to a wide variety of people with different techniques.

Unable to update different version of the same document.

After emailing or sending the spreadsheet to your team members, spreadsheets don’t often give teams features that can include commenting, audit trails especially seeing that tracking how information process over time are important.

In today’s world, Cloud based project managing tools are becoming extremely popular and effective in this mobile driven world.

Difficult for everyone to access updated information

When managing projects with a spreadsheet it can become fragmented. When sending spreadsheets around, you are not able to change the information and who knows how updated the schedule is as time goes on. When using cloud applications automatic updates changes can be made.

Remember that when using the right tool, especially for project management can spare your team a lot time and relief various struggles.
